Medical Director to Best Practice migration — zero downtime for a remote WA GP practice

At a glance

Client: GP Practice — Remote Western Australia

Challenge: Migrate 13 devices from Medical Director to Best Practice with zero clinical downtime

Solution: Full remote migration performed over a single weekend

Outcome: Practice left Friday on Medical Director, returned Monday on Best Practice — fully operational

Delivered: Remotely — no onsite visit required

The challenge

A GP practice in a remote location in Western Australia had been running Medical Director for several years, but persistent performance issues and deteriorating software support had reached a tipping point. The practice’s doctors and administrative staff were losing valuable time to slow system responses, and the lack of reliable support meant issues were going unresolved for extended periods.

The practice needed to migrate to Best Practice — but as a busy clinical environment, they couldn’t afford downtime during clinic hours. Every minute the clinical system was unavailable meant delayed appointments, frustrated patients and disrupted workflows. For a remote practice, flying in an IT team for an extended onsite migration wasn’t a practical or cost-effective option.

They needed a specialist who could migrate 13 clinical workstations to a completely new clinical software platform, over a weekend, remotely, with zero disruption to Monday morning clinic.

The solution

Bluebird IT planned and executed a full remote migration of the practice’s 13 clinical workstations from Medical Director to Best Practice over a single weekend. Working remotely from Mandurah, our team accessed each workstation via secure remote connection and completed the full migration — including Best Practice installation, configuration, data migration, Medicare Online connectivity, My Health Record integration, ePrescribing setup and pathology integration — without setting foot on site.

The migration was structured around the practice’s clinical schedule. The team began work after the last patient left on Friday afternoon and worked through the weekend to ensure every workstation was fully operational before the first appointment on Monday morning.

The outcome

The practice’s clinical team arrived on Monday morning to fully operational Best Practice workstations. Every integration was live — Medicare Online, My Health Record, ePrescribing and pathology — and every user could log in and begin seeing patients immediately. There was zero downtime, zero disruption to Monday clinic, and zero need for an expensive and logistically complex onsite visit.

The practice has since reported significantly improved system performance and reliable software support — and the remote delivery model means Bluebird IT can continue to support them from Mandurah regardless of their geographic location.
