Delivered: Remote build and ship — devices delivered ready to use

The challenge

A Western Australian aged care facility operating across four remote locations — Port Hedland, Tom Price, Newman and Marble Bar — faced a critical deadline. With Windows 10 reaching end of life, their existing hardware needed to be replaced before Microsoft ceased security updates, leaving their systems — and the sensitive patient data they held — exposed to security vulnerabilities.

The challenge was significant. With 30 devices spread across four remote locations in the Pilbara and Midwest regions of WA, a traditional onsite hardware refresh would have required extensive travel, significant cost, and major disruption to the facility’s care operations. The remote nature of the sites also meant that even a brief period of non-functional workstations could have serious consequences for care delivery and staff productivity.

The facility needed a solution that was fast, cost-effective, and caused minimal disruption to their care teams — many of whom were not highly technical and couldn’t be expected to configure new devices themselves.

The solution

Bluebird IT designed a build-and-ship solution that eliminated the need for costly and complex onsite visits across four remote locations. Each of the 30 replacement devices was fully built, configured and tested at Bluebird IT’s Mandurah workshop before being shipped directly to the relevant site.

Every device was built to mirror the user’s existing setup — same desktop layout, same applications, same access to shared files and systems — so that when a staff member plugged in their new device, it felt exactly like their old one. No training was required. No IT knowledge was needed. Staff simply unplugged the old device, plugged in the new one, and started working.

The entire project — from initial planning through device build, configuration, shipping and deployment across all four sites — was completed in two weeks.

The outcome

All 30 devices were successfully replaced across Port Hedland, Tom Price, Newman and Marble Bar within two weeks. Care teams at each location experienced minimal disruption — the plug-in-and-go deployment meant there was no learning curve and no productivity loss from staff needing to familiarise themselves with a new setup.

The facility is now fully compliant with Windows 11 across all locations, with modern hardware that will serve their care teams for years to come — and without the significant cost and logistical complexity of sending technicians to four remote Pilbara sites.
